4. Swim Meet Entry Fees
Varies Depends on level of meet and number of events to swim.
4.1. Amounts range based on the level of meet the swimmer is attending. Head Coach(s) will identify travel swim meets in which the team participates. Members may sign-up online to compete in meets, and entry fees are invoiced to your account with payment the month of the swim meet.
4.2. If enrolled in a meet and plans change after the Meet Entry Deadline, the fee cannot be refunded and your account will be charged (the meet entry fees have already been sent to the host).
Service Hours Requirement (team support hours)
5.0. Families of swimmer in competitive groups are required to complete service hours (team support hours)
5.1. Stroke School #1 (Free, Back), Stroke School #2 (Breast, Fly), Age Group #3, Pre-Competitive and Competitive Readiness will be exempt from service hours. Age Group #1, Age Group #2, Junior Bronze, Junior Silver, Junior Gold, High School Group, Senior Bronze, Senior Silver, and Senior Gold will need to complete 10 service hours each season (Sept through March & April through August). Regular timing chairs at swim meets will not count towards seasonal hours since we are assigned this by host teams as part of entering the meet and we need all members to cover.
5.2. Failure to fulfill the service hours requirements will result in a $20 per hour charge for unfulfilled hours at the end of each season. If your account is deactivated before the end of the season your service hours will be prorated and you will be invoiced for the missed hours upon/shortly after deactivation.
5.3. Hours are logged manually after receiving logs. Initials after competing the job must be next to your sign up slot to receive credit.
5.4. Jobs are your responsibility whether signed up personally or by the head coach. Failure to fulfill or find a replacement will result in a $150 charge. $75 of the fee will be added to the family account of the family that fills in.
5.5. Prefer to not complete the service hours- There is a “buy-out” option.

HOSTED MEET HOURS
Since hosted meets take a lot of manpower there will be SEPARATE required hours that will be assigned to the team to complete. The hours will be based on the length of the meet we are hosting. Example: 1 day meet will be 5 hours. The amount of required hours will be announced the month before the hosted meet. Failure to complete service hours for the hosted meet will result in $40 per incomplete hour (Yes for a 1 day meet that can be $200). Required hosted meet hours will not go to towards seasonal requirement. If at hosted meets you do beyond the separate required hours, then the additional hours will be added to seasonal: Example: you do 7 hours at one day meet then 2 hours will go towards your seasonal service hours. Thes groups are EXEMPT from doing hosted meet hours: Stroke School #1, Stroke School #2, Pre-Competitive, Age Group Bronze, and Competitive Readiness
*For hosted meets with prelims & finals the above policy is subject to change and may require exempt groups to complete hours and/or additional hours required for competitive families to fulfill the needs to host the meet. Requirements for these meets will be sent out via email prior to the job signups being posted.
Fundraising
6.1. TMEC is a non-profit organization. Participation by families in fundraising is necessary to keep dues down and swimming affordable. Each family is required to participate in fundraising by contributing $100 per year for competitive group swimmers or $50 per year for non competitive swimmers. All families are required to participate. If you have a swimmer(s) in a non competitive group and a swimmer(s) in a competitive group, your family is required to participate in the full $100 fundraising per year requirement. Information on fundraisers will be made available through e-mail and on the website. The Ways and Means Director is in charge of fundraising. Any fundraising leftover that was not fulfilled by the end of the year is invoiced in November/December.
6.2 The full fundraising policy and forms are available for review and download in the website library.
6.3 All fundraising events or activities need prior approval by the Board of Directors.
6.4 Those wishing to conduct a fundraising activity or event must first submitted an Events Request Form within a reasonable amount of time to fundraising@tmecswim.com where it will be processed.
6.5 All collected funds at the conclusion of the activity or event must be turnover to the Treasurer with all monies recorded on the Money Count Worksheet found on the website Library.
Past Due Invoices
7.1. Invoices not paid within 15-days of due date are subject to a $25 late charge
7.2. Invoices that exceed 60-days past due will subject the swimmer to suspension from practices in addition to jeopardizing entry into Southern California Swimming meets. The billing system and coaches will attempt to notify members when invoices are in the arrears.
7.3. Requests from members to continue practices while in the arrears must be presented to the board.
Late Swimmer Pickup
8.1 Swimmers have a 15 minute window from the end of their practice to be picked up. If swimmers are picked up after that 15 minute window then a $25 fee will be applied for each 15 minute window.
Refunds
9.1 Refund Requests will not be honored once payments have been processed. In extenuating situations, WRITTEN requests with outside documentation (i.e. doctors note) will be reviewed on a case-by-case basis.
Cancellation
10.1 To cancel membership, fill out the form below with the swimmer’s first and last name at least 7-days before the next billing cycle which begins on the first of every month or email coachnicole@tmecswim.org your request. Verbal notification is not sufficient and requests must be sent via one of the methods above to be sufficient notice.
For accounts deactivated with no swimmer’s active there is a $50 family reactivation fee upon returning in the future.
FAQs

Parents or a representative from your swimmer is required to sign up for a timing chair in order to keep the meet running. These regular timing chair hours will not go towards seasonal hours.
You will be fined $75 for missing your timing chair. If there isn’t a back up timer and no one else is able to time, the coach is required to step in and time. This takes away from their ability to coach your swimmer during the meet.
You are able to sign up your kid for individual events or your coach will assign him/her.
You can access your account using the OnDeck app on your phone or through the website on your desktop.
Each season (Sept-Mar & Apr-Aug) each family is required to complete 10 hours. These are typically completed during away meets. You can find the jobs on your Team Unify account. Hosting meets requires a lot of hours for the coaches, swimmers and volunteers. Each TMEC hosted meet requires 10 hours to be completed throughout the meet including set-up and tear down, however for some hosted meets there may be additional hours required. If you chose to complete more than the required hours, those hours can go towards your seasonal hours. Exact numbers per hosted meet will be sent prior to each hosted meet.
We currently have a google drive for photos. We will send you the link for uploading.
If you are timing and no one comes to switch with you, contact the timing coordinator. Please do not leave the timing until someone comes. If the chair is vacant, the meet is paused and a coach has to fill in.
We have a partnership with SwimWest for our apparel and team caps. The login is swimtmec
Our local swim meets are typically 1-2.5 hours away. We go out to Palm Springs, Victorville, Riverside, and Corona.
After you have completed your hours/job, sign the sheet and take a photo for your records. The sign up sheet is located in the team tents on the clipboard. We update each account but on occasion, we miss something. The photo is for back-up in case this happens.
